QuickBooks Online dropped product variants — here’s what Square sellers should do now

Quietly noted in Intuit’s import documentation: as of June 1, 2026, product variants are no longer supported in QuickBooks Online. Existing variants were converted into standard products and services. If you sell on Square — where variations are the natural way to structure a catalog — this changes how your items should arrive in QuickBooks.

What actually changed

For a while, QuickBooks Online offered a variant system in some plans: one product with options like size or color underneath it, loosely similar to Square’s item-and-variation model. That structure is gone. Each former variant now stands alone as a regular product or service, and imports cannot create variants either.

What it means for your Square catalog

It simplifies things, honestly. There used to be a question of whether to map Square variations onto QuickBooks variants. Now there is one correct shape: every Square variation becomes its own standalone QuickBooks product with a unique name — “T-Shirt - Small,” “T-Shirt - Medium,” and so on. That is also exactly what QuickBooks’ unique-name rule has always pushed you toward; the rule and the data model now agree.

Practical guidance

  1. Use a consistent separator between item and variation names (“ - ” is the common convention) so your item list sorts and searches sanely.
  2. Use QuickBooks categories for grouping instead of variants — that is what they are for now. Be careful: category assignment in imports uses colon syntax, so stray colons in your names will create categories you did not intend.
  3. If you previously imported a catalog using variants, audit what the June conversion did to your item names before importing anything new — collisions between converted variants and new imports are a fresh source of “name already exists” errors.
